 Administrative Assistant

 Job Description
  • Maintain customer formalities tasks and do proper follow-up to secure deadlines and guarantee task's directive & bylaw closing.
  • Supervises and participates in the preparation and maintenance of tasks and follow up the task to get to the final stage.
  • Coordinates with the Customer Support for documents pick up and drop off and all follow-ups.
  • Manage routing to ensure drivers are loaded quickly and effectively and know everything they need to know.
  • Load the driver with all the instructions they require for delivery.
  • Keep in touch with all the drivers at all times to supervise multiple deliveries.
  • Handle cash-in and cash-out resulting from formality activities and customer's payments.
  • Provide general administrative and clerical support.

 Education and Experience
high school diploma generally required
knowledge of administrative and clerical procedures
knowledge of computers and relevant software application
knowledge of customer service principles and practices

 Job Description

  • ​Compare computer printouts to manually maintained journals in order to determine if they match.
  • Verifying the accuracy of invoices and other accounting documents or records.
  • Handle all payroll information, including using R5, R6, R10, Etc…
  • Reconcile monthly cash and bank statements.
  • General Ledger maintenance.
  • Job Costing.
  • Monthly financial reports for management.
  • Perform other general office duties as needed.
  • Assist in all areas of operation as requested by management.
  • Reconciles records with internal company employees and management, or external vendors or customers.
  • Recommends actions to resolve discrepancies. Investigates questionable data.
  • Maintain inventory records
  • Reconcile or note and report discrepancies found in records.
  • Perform financial calculations such as amounts due, interest charges, balances, discounts, equity, and principal.
  • Compile budget data and documents, based on estimated revenues and expenses and previous budgets.
  • Calculate costs of materials, overhead and other expenses, based on estimates, quotations and price lists.
  
 Education and Experience
  
College graduate BA.
2-3 Years experience in bookkeeping with an academic background in either finance, accounting or business management
Excellent computer skills (Microsoft Word/Excel)
Knowledge of QuickBooks software is preferable.
Professional presentation and conduct.
Must be responsible and self-managed.
Must have excellent follow-up and tracking skills.
